Getting Started with EstateTrack

Your first invoice will be running within 5 minutes of reading this page.


Step 1: Create Your Account

    Go to the Sign Up page at /signup.

    Choose your preferred title: Landlord (for individual property owners) or Executive Manager (for real estate executives managing multiple properties/managers). This title will be used to address you throughout your portal.

    Enter your name, email, and a secure password.
  4. 4
    Check your email for a confirmation link and click it.

Note: If you don't receive the confirmation email within 2 minutes, check your spam folder. The sender is noreply@estatetrack.app.

Step 2: Set Up Your Portfolio

After confirming your email, you'll land on the Onboarding screen.

    Enter your Business Name (e.g., "Kamau Properties").
  2. 2
    Select your Country — this determines which payment methods are available to you.
  3. 3
    Click Complete Setup.

You will be taken directly to your Dashboard. Open /dashboard

Step 3: Add Your First Property

    Click Properties in the navigation bar.
  2. 2
    Click the Add Property button (top right).
  3. 3
    Enter the property name, type (Residential, Commercial, etc.), and its address.
  4. 4
    Click Save.

Your property is now in the system. Next, add the units inside it.


Step 4: Onboard Your Team & Tenants

    Go to Staff & Team (/staff) or Managers (/managers) to generate permanent invitation links.
  2. 2
    Property Managers: Executive managers and landlords can invite dedicated property managers assigned to a single property via the Managers hub or invite module. They get full operational access to that property (units, tenants, maintenance, rent) without billing access or cross-property visibility.

    Caretakers: Invite caretakers to manage day-to-day maintenance requests and tenant oversight for an assigned property.
  4. 4
    Tenants: Generate targeted invite links assigning tenants to specific vacant units. Share links via WhatsApp or direct copy.

Step 5: What Happens Automatically

Once units and tenants are set up, EstateTrack runs a scheduled job on the 28th of each month that generates rent invoices for all your active tenants — you don't need to do anything. Your tenants receive an instant notification when their invoice is ready.

Step 5: Personalize and Install the App (Web App)

EstateTrack is a Progressive Web App (PWA) designed to work perfectly on your phone and desktop. You don't need to visit the App Store.

From your Profile Dropdown (Top Right Corner):

    Click your initials in the top right corner of any portal.
  2. 2
    Select Theme to toggle between Light, Dark, or System modes.
  3. 3
    If your device supports it, click Install App to securely download EstateTrack to your device.
  4. 4
    Click Enable Notifications so you never miss an important property update.

Alternative Manual Installation (Phones):

  • iPhone (Safari): Tap the Share button at the bottom, then Add to Home Screen.
  • Android (Chrome): Tap the Menu (three dots) in the top right, then Install App.

Now you can open EstateTrack just like a normal app on your phone.


Password Recovery & Access

If you ever forget your password:

    Go to /forgot-password from the sign-in page.
  2. 2
    Enter your account email address to receive a secure recovery link.
  3. 3
    Open the link in your email and set a new password on /reset-password.
  4. 4
    You will be automatically redirected to your portal.
