DRAFT — Requires Formal Legal Review
These Subscription and Billing Terms govern all commercial transactions between landlords and EstateTrack per Master Blueprint §11.14 and §19.2. Paddle acts as Merchant of Record for international card and digital wallet checkouts.Commercial Plans, Metering Rules, Gateway Protocols & Refund Policy
We bill landlords based on occupied rental units across Starter, Pro, Business, and Enterprise plans. New landlords receive a 30-day free trial with Business features unlocked. If you cancel within 14 days of your first paid charge, you are entitled to a full refund. Non-payment never erases your portfolio data or locks out your tenants — your account simply transitions to Read-only mode until renewed.
EstateTrack subscriptions are structured across four tiers: Starter, Pro, Business, and Enterprise. Each tier provides a base occupied-unit allowance:
Daily Occupancy Metering: Only occupied units under an active lease count toward your subscription allowance. Vacant units and units undergoing maintenance are never metered or charged. Extra occupied units above base allowance are metered daily and averaged across the monthly billing window.
EstateTrack maintains an authoritative country-by-country Pricing Library. When you complete onboarding, your portfolio currency and billing tier are deterministically locked based on your operating country. Subscription prices are established in fixed local billing currencies (e.g. KES in Kenya, USD for global tier) and do not fluctuate mid-cycle with foreign exchange movements.
Every newly registered landlord organization receives an automatic 30-day free trial with full Business Plan capabilities unlocked. No payment card or financial deposit is required to start a trial. Trials are limited strictly to one trial per organization.
Organizations operate under one of four authoritative standing states:
Full Business features enabled during the initial 30 days.
Settled subscription with full platform creation and billing powers.
Subscription lapsed. Full inspection and recording of historical data; new bill creation gated.
Administrative intervention for severe conduct breaches; never caused by non-payment.
What Read-Only Means in Practice: You retain complete, permanent access to export ledgers, verify payments, and inspect tenant records. Tenants continue to access their portals. Adding new units, onboarding new tenants, and generating new invoices is paused until renewal.
EstateTrack collects its subscription fees through licensed gateways:
Recurring auto-debit billing is strictly opt-in. Checkouts display an unticked auto-renewal checkbox explaining exact charges and billing dates. You can switch auto-renewal off at any time with one click from Billing Settings.
If you purchase a paid subscription and decide EstateTrack does not fit your operational workflow, you may request a 100% full refund within fourteen (14) calendar days of your first initial payment.
Refunds are processed through the original payment rail (Paddle or M-Pesa) within ten (10) business days.
Subsequent Renewals: After the initial 14-day window or upon renewal of recurring monthly cycles, cancellations stop future billing at the conclusion of the current prepaid billing period. Partial-month pro-rated refunds are not issued.
Initiating an unnotified banking chargeback for legitimately processed subscriptions constitutes a breach of service. If you experience a billing discrepancy, contact Support immediately for resolution.
Courtesy Access: When a landlord submits a manual subscription payment claim, EstateTrack grants temporary full access (Courtesy Access) for up to two (2) business days while our finance desk validates the bank deposit reference.
EstateTrack guarantees at least thirty (30) days advance in-app and email notice prior to any subscription price increase taking effect on existing recurring subscriptions.
